Job Overview

The Executive Assistant will provide administrative assistance to the Regional Director and direct reports. The Executive Assistant proactively seeks opportunities to provide additional value, added service to ensure all established deadlines/commitments are met. The Executive Assistant will understand the priorities of the Regional Director to manage tasks & responsibilities effectively and maintain a working knowledge of the department and processes.

Position Responsibilities

Accountabilities include, but are not limited to, the following:

  • Create letters, sales material, project profiles, and other marketing material as needed.
  • Assist with monitoring budgets and department objectives.
  • Ensure Regional Director is up to date on current engagements and changes to the schedule.
  • Data entry, filing, and database management.
  • Manage and reconcile credit card expense statements for final submission for approval.
  • Schedule and prepare for key events, meetings and related logistics, business travel, presentations, and follow-up on action items.
  • Help with numerous charity requests.
  • Answer telephone and screen calls as deemed appropriate and take transcription, live and from voicemail.
  • Monitor e-mail inbox and calendar to help manage meeting proposals, action items, and proactively address or delegate inquiries.
  • Coordinate and manage special projects, events, and catering as required.
  • Liaise as appropriate with internal staff at all levels and external clients, answering general inquiries and providing information as required.
  • Complete other administrative support activities as required.

Job Requirements

The ideal candidate will meet the following criteria:

  • Bachelor’s Degree or Diploma and/or equivalent experience in a similar role.
  • Maintain integrity and confidentiality with sensitive information to avoid premature disclosure of information.
  • High attention to detail with exceptional organization skills.
  • Proficient with Microsoft Office, including Outlook, Teams, Excel, PowerPoint, and other related software.
  • Displays a positive, professional, and friendly image at all times.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills.
  • Ability to work independently, under pressure and respond to deadlines.
  • Excellent decision-making and prioritizing skills.
  • Ability to be resourceful and conduct research.
